Your team repeats the same work every day: where to start with AI.

Copying data, answering the same question, preparing the same report. Before buying a tool, look at the process. A six-step method for starting with AI without losing control of your data or your quality.

The momentHalf past ten, and it is already the fourth time

It is half past ten in the morning. Someone on your team answers the same question for the fourth time: where that document is, what the terms of that service are, what to do in that case. They search a folder, open a PDF, copy a paragraph and paste it into an email.

Mid-afternoon it is time for the weekly report: the same data, taken from the same places, pasted into the same template. Nobody chose it. It has simply always been done that way.

None of this is hard. That is exactly the problem: it is the time of valuable people spent on tasks that do not need their judgement.

The problemStarting with the tool, not the work

When AI comes up, the temptation is to start at the end: try the fashionable app, buy a licence for the whole team or ask a generic chat to “just do it”. A few weeks later the tool is hardly used and nobody can say whether it helped.

It usually fails for three reasons. Nobody knew which task they wanted to solve. The tool did not know the company’s information, so it answered in generalities or, worse, made facts up. And nobody had decided what it could do on its own and what a person had to check.

There is also a legitimate concern: where do the company’s documents go? Who can see what? If that is not clear from the start, the project stalls, and rightly so.

AI does not fix a process nobody has looked at. It repeats it faster.

The methodSix steps, in this order

What works is less flashy and more orderly. It is the method Innectia’s AI and process consulting works with, and you can use it as a guide even if you do it yourself.

Notice the order. The tool appears in step three, not step one. And measuring starts before the first change: if you do not know how long it used to take, you cannot know whether you have improved.

Data and qualityAI answers from your documents, not from the internet

The data question is not a formality. It is the first thing to settle, before a single answer is written.

With these rules, quality stops depending on luck. If an answer is wrong, you know which document it came from, the document gets corrected and the answer improves for everyone.

For assistants, Innectia relies on its own products: the PRO Host, a private chatbot that answers the team with the company’s information, and Innectia X, the CRM, whose AI chatbot can answer on WhatsApp or inside the company. AI usage has a cap; if a case needs more, it is looked at case by case.

When it makes senseAnd when it is better to wait

In those cases, sometimes the useful thing is not AI but tidying up the process: a template, one step fewer, a CRM where everything comes in on its own. Knowing where AI does not fit is also part of the job.

What changesLess repetition, more judgement

For your team, the goal is clear: less time searching and copying, and more time on what really needs a person.

For the company, where knowledge lives changes. What used to be in two people’s heads moves into approved documents anyone can consult, which are reviewed when something changes.

And for deciding, the basis changes. With the before and after measured, you know from your own numbers whether it is worth expanding to another task or another team.
